Introduction: Why Timeline Planning is Key to a Successful Renovation
Every villa renovation project begins with a dream—whether it’s to create a more functional kitchen, add a poolside entertainment zone, or turn an older layout into a contemporary family space. But what separates successful renovations from those that spiral into delays and cost overruns? It comes down to one thing: planning.

In this guide, I walk you through each phase of the villa renovation process—from idea to handover—so you know exactly what to expect, how to plan, and how to stay in control.
1. Discovery & Vision (1 Week)
This is where the journey begins. Most clients come to us with a vision but not a plan. Our role here is to:
– Understand your lifestyle goals and design vision
– Assess your property layout, condition, and feasibility
– Explore early layout possibilities
– Define potential budget range and priorities
This phase usually includes an initial meeting (virtual or in-person), followed by a site visit from our team. A well-structured discovery process avoids future rework and gives us a foundation for design.
2. Concept Design & Proposal (2–3 Weeks)
In this phase, our architectural and interior design teams work together to bring your vision to life:
– Drafting layout options
– Mood boards and material palettes
– Kitchen and bathroom zoning
– BOQ-level budget planning
You’ll receive a proposal that includes visuals, design narrative, cost estimate, and scope of work. You can provide feedback, iterate on design, and align expectations before moving to approvals.
3. Authority Submissions (3–5 Weeks)
Every structural, electrical, plumbing, or façade change in Dubai needs to go through authority approvals:
– Emaar / Nakheel / Dubai Municipality / Trakhees
– Architectural and structural drawings are submitted by our team
– Modifications are redlined and resubmitted if required
– NOCs and building permits are issued
Delays in this phase usually come from incomplete documents or unclear changes. Haifa Renov8 handles this in-house to ensure your timeline doesn’t stall.
4. Procurement & Planning (2–3 Weeks, Parallel)
While authorities are reviewing drawings, our procurement team begins:
– Finalizing tile, sanitary, joinery, lighting, and material selections
– Ordering long-lead items (custom cabinetry, stonework, etc.)
– Preparing project schedule and delivery timelines
We also finalize your renovation calendar with all phases mapped out so you know exactly when each milestone is expected.
5. Site Execution (6–14 Weeks)
The most visible (and exciting) phase. This includes:
– Demolition and structural works
– MEP and civil modifications
– Interior fit-out and carpentry
– Painting, lighting, smart systems, and finishing
A 3BR townhouse may complete in 6–8 weeks, while a 5BR luxury villa with landscape and pool might take 12–14 weeks. Our project managers provide weekly updates, site photos, and snag tracking.
6. Snagging & Handover (1–2 Weeks)
Before you move in, we do a full snag walk with you:
– Checking all finishes, fixtures, joinery, and lighting
– Rectifying anything that doesn’t meet expectations
– Final site cleanup and detailed handover folder
We also share future maintenance tips, MEP diagrams, and warranties. Many of our clients list their renovated villas on the market the same week they receive handover.
